MailBasics Privacy

Anonymous scans

MailBasics queries publicly available DNS records. After a scan, it temporarily stores the domain, a sanitized finding summary, detected provider, result status, and keyed hashes of the requesting IP address and browser user agent. It does not store the raw IP address or full DNS response in the saved report.

Retention and saved reports

Saved scan summaries expire after 7 days and are deleted automatically. Report links use a random, unguessable token, are excluded from search engines, and are not listed publicly. Anyone who receives a valid link can view its sanitized summary until it expires.

South State review requests

MailBasics does not send a report or contact details to South State Tech unless you submit the review form and agree to attach the report. Submitted contact details, your message, consent choices, attribution data, and the sanitized report are stored locally and sent to HubSpot so South State can respond. Marketing follow-up is recorded only when you select that optional consent.

Analytics

MailBasics uses privacy-conscious analytics to measure scan and conversion events. Event data does not include full DNS records or domain names. Do Not Track preferences are honored by the configured analytics script.

Deletion requests

To request deletion of a submitted review request, email support@mailbasics.com from the address used on the form.
